Building better workflows with HR leaders at HR Forum Norway

HR Forum Norway brought together hundreds of HR professionals who were eager to talk about onboarding, training, employee requests and the growing pressure to do more with fewer resources. The conversations were open and honest. People wanted smarter ways to work with AI. They wanted tools they could trust. They wanted something that helped them collaborate better with procurement, legal and IT.

Our workshop ended up becoming one of the highlights of the event, attracting a highly engaged group of HR managers from across a wide range of organisations. What made the session special was that everyone showed up ready to roll up their sleeves and build something real.

Mapping real processes together

We started the workshop with three groups. Each team picked a process they wanted to work on. One chose employee requests. Another chose onboarding. The third chose training. People covered the walls with Post-its, mapping every step from the moment a new hire accepts an offer to their first month on the job.

What worked well here was the mix of perspectives. HR managers from different industries shared the same pain points. Collecting information manually. Sending reminders. Going back and forth with IT. Chasing busy managers. Creating documents. Making sure everything is done responsibly while staying compliant with internal rules.

As each group compared notes, the excitement grew. People could see where automation would help and where it could make life easier overnight.

Turning Post-its into a working workflow

The unique moment came next. While the groups were mapping out their processes, our team quietly opened 50skills and began building one of the mapped workflows in real time.

The entire onboarding journey was created step by step. Forms for contract and payroll information were added. Reminder logic was built. Manager tasks were included. Access provisioning was set up. Buddy communication was added. Relevant LMS courses were assigned. A one month check in was also created, complete with conditional triggers when feedback is low.

Every step designed on the wall was mirrored directly in our HR workflow platform. It was not a mock up. It was the actual working process.

The build was recorded and sent to participants afterwards.

This caught people’s attention. It is rare to map out a process on Post it notes and then see it turned into a working workflow shortly after.

Why it resonated with HR leaders

The event attracted high quality participants, with most people deeply engaged in the sessions throughout the day. Those who came by to chat were focused and often arrived with very specific challenges they wanted to solve.

Throughout both days, people asked about onboarding, offboarding and employee requests. They asked how to use AI ethically. They asked how to reduce manual work while keeping everything aligned with procurement, legal and privacy requirements.

When they later heard from colleagues that our workshop involved live mapping and real workflow creation, many came over to see how we did it.

And yes, the teddy bears became the unofficial hit of the entire event!

A look inside the onboarding workflow we built


The workflow created during the workshop followed the exact path the group designed:

  • Collecting new hire information
    An automatic email welcomes the employee and asks them to fill in an information form. Clothing size, bank account details, certificates and anything else that might be needed can be added or edited in seconds.
  • Automated reminders
    If the form is not completed, reminders are sent every three days. HR receives a notification if the reminders have already been sent several times.
  • Contract creation
    The contract is automatically created based on the approved Word template. It can then be sent for e-signature.
  • Manager information
    The manager receives a short form asking what hardware, software and access the new hire needs. They also select a buddy or pull the name directly from the HR system.
  • System updates and tasks
    The employee is created in the HR system and payroll system. Tickets for IT or facilities are created automatically. Access to systems is granted on the start date.
  • Third party actions
    If the company uses external providers like phone plans or parking, the workflow sends the request automatically and waits for confirmation.
  • Preparing for the first day
    A week before the start date, the new hire receives practical information. The manager receives a reminder and a simple checklist. The buddy receives a message explaining their role.
  • First day communication
    Colleagues are informed through the organisation’s communication channel. The employee is automatically added to the LMS and assigned the correct training.
  • One month check in
    Both the new hire and the manager receive a short survey. If the score is low, HR is notified so they can follow up quickly and support both sides.

Everything sits on top of the organisation’s existing systems. It can be triggered directly from the ATS or triggered manually.
